How to request and check product batch documentation

A practical checklist for matching a product, SKU and batch to supplier documents and understanding what the Pepluno batch lookup shows.

Request documents for the item being dispatched

Start with the product name, SKU and full pack specification. If you already have a batch or lot number, include it. If you do not, ask the team which batch is expected to be dispatched and which documents are available for it.

An order number can help the team locate an existing order. Do not include passwords, card details or unrelated personal information in a documentation request.

Match the identifying details

Look for a product or material name and a batch identifier. Compare them with the supplier label and the batch being supplied. If the naming or identifier differs, ask the issuer or supplier to explain the relationship rather than assuming it is the same item.

Record the report number, issuing organization and issue or test date where those fields are present. A report describing another batch does not establish the results for the batch you will receive.

Read the scope of the reported results

Check which tests are actually named and how each result is reported. Note any units, methods, specifications and qualifications stated by the issuer. If a result is unclear, ask the issuer or a suitably qualified reviewer to explain its scope.

Do not assume that a single reported percentage answers every question about the item. Only rely on the tests and conclusions actually stated in the document. A catalog photograph or a company registration certificate is not a batch test report.

Use the batch lookup for its stated purpose

Pepluno’s batch lookup displays operator-published records and document fingerprints where records are available. A document fingerprint is used to compare a referenced file with the recorded file.

A matching file fingerprint does not independently prove the contents or authenticity of a physical product. If you need confirmation of who issued a report, use the issuing organization’s own verification process or contact details obtained independently.

Keep a useful record

Save the report or supplier document you reviewed, along with the SKU, batch number and relevant correspondence. When the parcel arrives, compare the actual label with the information you requested. If there is a mismatch, retain the label and packaging and contact the team with your order number.

A request you can send

“Please provide the available supplier label and batch documents for [product name / SKU / full specification]. Please confirm the batch expected to be dispatched, the issuing organization, report identifier and tests covered. If a requested document is unavailable, please tell me which information can be provided before I place the order.”
